Oh, so great to see all of you on here. It's a fun way to see everybody that's participating today. And for those that might be watching the webinar later, the recording So if you just joined, what we're doing is people are typing where what church they're from and what and what town they're located in in the chat. Many of you that are attending the webinar know who I am. Rhonda Moore here at the Iowa District West office, assistant to the president in areas of education, youth, and family life. So I have the pleasure of welcoming you all today on behalf of the district. Thank you for taking the time to attend this webinar and, to participate. You're gonna hear, two main things today. You're gonna hear about the sexual abuse prevention training that is free, and then also the discounted background checks in the very the various packages you could get your congregation could get. We're encouraging all congregations to have safety policies in place as well as to use protect my ministry for their, sexual abuse prevention training and also background checks. And with that, I'm gonna turn it over to Olivia, who's our our host today and walking us through everything with that we have available with Protect My Ministry. Great. Thank you so much, Rhonda. Hi, everyone. My name is Olivia Knighton. I work with Protect My Ministry as a risk management manager here. I'm so excited to be here today to, again, talk to you about the child safety training that we offer that the Iowa District West has provided to you as a free service, as well as our background check offerings. So let's go ahead and get into it. Before I get to the next slide, I did wanna mention that chat, feel free to use it. As people come in, you can share any information that you'd like to there including where your church is from, and what part of the country you're located in. The q and a, we do like to reserve for questions that you have specific to the slides. So please feel free to use that. We do have administrators that will be working, on answering those questions during the presentation as well as some time reserved at the end to to to address any questions in there as well. So let's get into it. Protect My Ministry, if you have not heard about us before, we're headquartered in, Tampa, Florida. So that's where actually I'm located as well. We work with over 35,000 churches and faith based organizations including nonprofits, all over the country as well as in Canada and some international churches as well. And our primary focus is our background check program as well as our child safety training programs. We are a faith based organization. So what we do is specialize in a custom and fully catered experience to all of the faith based organizations we work with. So whenever you get in touch with someone from Protect My Ministry, you can really feel good about having an experience that's personalized for your individual church. There is an important part of this. We do have a legal disclaimer. This is not going to be legal advice. We do recommend that you consult your own legal counsel at the church, for any specific questions that delve into that area of, specific legal advice as well as using your resources for, your liability insurance providers as well to get specific information. So if there are any questions like that, we may not be able to answer certain specific specific questions that delve into that legal, process there. So just keep that in mind. So without further ado, let's get into our site our child safety training portion. So Iowa District West has provided every account, under their parent account with us with a free child safety training account. What this means is that there is no cost to you to sign up to set up that account. And what will happen is once you set it up, you'll have access to unlimited trainings. This means that you can train an unlimited number of volunteers or employees with this training. We offer two main versions. This is going to highlight our volunteer version, which is going to be five lessons or five modules. It goes very in-depth into what child sexual abuse looks like, certain victim behavioral characteristics, that a child would display if something, an incident has taken place, characteristics of child molesters. So how to, you know, take a look at the congregation and recognize suspicious behaviors and identify that as a weakness in the organization. How you can make a difference as both a volunteer and an employee, and then responsibility and reporting. And the employee version of this goes deeper into those last two lessons and the best the specifics on what an employee's job looks like, mandatory reporting, and how that works as well. At the end of each of these trainings, your volunteer or employee will be given a quiz, comprised of 25 questions, and they will have to score 70% or higher in order to pass that and receive their certificate. Now if you're the administrator at that church, what that will look like for you is you will be able to view that certificate, view their score on it as well, and you'll have a record of their completion in your ministry mobilizer, which we'll get into a little further in this webinar and what that looks like, which is our platform for managing your child safety training as well as your background checks. The child safety trainings, both versions are a really great length. The volunteer version is going to be about a thirty to forty five minute run time. The employee version with those two additional modules takes about forty five minutes to an hour to complete. So really not a doesn't pick up a big chunk of your day, but it's a very approachable training for both volunteers and employees. We've also recently published a new edition of this, this year. So it's it's a really great, really comprehensive training and something that the Iowa District West was really proud and happy to give that opportunity for all of your accounts to have this service for free. Now moving into the options when you actually sign up for your bundle. This one is going to be a breakdown of what each type of account looks like. Now the bundle one is what's included at no cost. Normally, this is a $175 a year annual subscription that, the Iowa District West has covered for you. Now I wanted to take a look at the bundles two, three, and four specifically and to kind of go over what that, what that looks like in terms of what that can do for your church. And, again, when you connect with an actual representative from Protect My Ministry to set your account up, they will go over the specifics and what their recommendation is for your individual church. Like I said, it's a whole custom process, that will just really make you feel like your needs are being taken care of and addressed. But the bundle two is is going to be Protect My Ministry is the most popular package. When you do get into the background screening side of it, bundle two includes what's called our online consent form, and that will be what enables you to go paperless in terms of your actual physical form that they would have to sign in order to run their background check. So what that means is at the church level, you're not taking a piece of paper with everyone's Social Security number and their date of birth and their home addresses or signatures on it. So that process is definitely preferred by the majority of our churches, and it's available under that bundle bundle too. Now if you're a church that has multiple campuses or you like to keep departments such as your kids ministry and your adults ministry, maybe there's an after school, type of options that you offer, you'd like to keep all of those departments separate. That's something that we would recommend under bundles three and four. And those kind of delve into what larger organizations tend to need in terms of their account access, different user administrations, more custom forms. If you'd like to make your entire volunteer application online, we offer that service as well. So I like to think that when you start doing your child safety training and you have all of these options with the background screening, it would just be nice to have all of these reporting and these things, in one place so that you're not, you know, tied to different areas. Now going into the actual background checks, we've also provided special discounted pricing for you for the searches as well. So the discounts, you can see the normal prices on this slide as well as the discounts that we're offering. The plus package is one of our most popular packages. It's going to include the national criminal database, the national sex offender registry. It includes alias names of both of those registries for automatic searches, a Social Security number trace, as well as one county or statewide court search. The reason these can differ and there isn't an and or is that some states have a very comprehensive statewide search, which would be the recommended. Some states, individually, it's better to search this criminal data at a county level. And, again, this is something that that rep that you speak to with Protect My Ministry will really delve into once you have provided them with the information such as where your organization is located. Sometimes there are special cases where your church might be located in the middle of a tri county area or maybe really close to a state line. So you may want some more comprehensive options. The seven year unlimited package is typically for a lot of those cases, which is going to be everything included in the plus package we just went over, plus it will pull seven years of the applicant's address history and search every county applicable to that. So what this looks like is a more comprehensive search all around. It's definitely a top recommended package for Protect My Ministry. But we just wanted to show you two of our most popular ones. We do have all sorts of custom package options. You'll probably hear me say that a million times. This customizable, or, you know, all of these custom options for you and your church. And that's really what sets Protect My Ministry apart from other screening services out there is that we really truly want you to feel like your church is being protected to the best of our ability, specifically for what your church needs. So as we move into other services offered, you might have shuttle drivers, you might have individuals that are employees that you want to verify their education or their, employment history, we have an a la carte menu. So when you set your account up, you'll see those packages that are added to your account right away. They're available to be ordered. You'll also see what's called their a la carte list, and that's going to include everything on this list. If you are a church that likes to screen new pastoral candidates and we are looking at, you know, a deeper type of background check, you might look at credit history, you might look at, a wider scope in terms of area. That's going to be offered under our a la carte services here. And then another option that we offer is continuous monitoring. So with our screening, continuous monitoring is something that a lot of churches have been really getting into, which, is really applicable especially for those individuals working directly with your kids or working with, leadership and those type of positions with your financial documents, things like that. Continuous monitoring is just what it sounds like. It's going to continuously pull, criminal data in the area, the parameters that you set for that applicant and report back if anything changes. So what that looks like is if there's if there's an arrest, for instance, if there is a situation where there's a conviction that's been filed, you'll know about that. And this is just another way to safeguard your church. Now what I'm going to do is go ahead and go into our back end of our ministry mobilizer, which is the platform that we use that you will be using to request your child safety trainings and show you a bit of what that looks like as well as your, background checks if you opt into that. Alright. So this is what the welcome page will look like when we log in to Ministry Mobilizer. This is a testing account, so you might see a lot of different random names on here. You'll see my name up at the top. But just from a general user standpoint, once you've logged in, this is the the home page. Now you can see under the resources tab, we do offer a user guide. Once you set your account up, you'll be provided this user guide as well as assistance and, contact information for our support team so that if you do need a walk through of the system, you don't have to refer back to this webinar or any little specifics. You'll have support live support available for you. Compliance documentation. You might live in a state that requires additional documentation that's provided for your, consent forms or things like that. So you can view that state by state under these links here. And then release notes, these are announcements or specific changes to certain states that you can view. And then this is under going to be our support line here. So you have the contact number. There's also, emails available, help center articles where people ask questions online and they're answered by our support team, and this will take you to update your billing. Now navigating over on the left hand side, if you're set up for a bundle one, which is our child safety training account, you'll see that you only have access to this child safety training tab here and this background check tab here. And each of these additional options become un grayed out or highlighted, once you enable that service. So for bundle two, for instance, you'll have access to the pipeline. Importing and safety rocket would be a three and four setting. So for the sake of this presentation, we're going to work in primarily under, bundles one and two. So under our child safety training tab, once you click it, you'll come to the main dashboard here. And you can toggle in different statuses of your applicants by using any of these tabs up at the top. So you can see that we've organized it in all you're seeing all of your applicants here. You can see your pending trainings that you have issued out here. You can see completed trainings here, expired and canceled and so forth. So back under the all tab, just the way that it's organized, this can all be changed as well so you can customize it to your individual preference. You can see the date requested. You can see the requester. So if you have multiple administrators in here, you can see who is requesting these trainings to be run. Department is going to be a bundle four option on here. So just keep that in mind if you do want to enable departments, that will be for bundle four. And then you'll be able to view their status on here as well, their date completed, score, and then viewing their certificate. So what this will look like once you have a certificate that's ready to view is we'll just open this one for instance. And you can see that this is what miss Cheryl that took this training on October 14. This is what she received. She received this exact copy of this. So you have one for your records and she will have hers. You can print it off if you'd like. It comes with the approval number and all of this is stored in the applicant's profile as well. Now back under the background checks tab, this will be the process, you can do you can request the how to send out the child safety training to an individual in one of two ways. So you can attach it to a background check, which is what I'm going to show you as well. Or if you're in the child safety training tab and you just need to assign a training to an applicant, you can just select the training button here, and you can fill out the individual's information. So their full legal name, first and last name, as well as their email address. Now what you'll see when I hit next is that I have already been entered into the system, so it will give you a duplicate entry detected. You can click on the link to actually take you to their profile. For this purposes of this demonstration, I'm going to hit continue anyway so I can show you the next screen. Then it will have you select the type. So we do offer the Spanish version as well as our employee and volunteer versions I've covered earlier. The Spanish version is the full employee version, so just keep that in mind if you're signing that out. Just select which option you'd like to assign to this applicant and click order. You'll get the success screen. From here, when you hit return, it's gonna take you right back to that dashboard that we were at before. Now the other way to order child safety training, which I'll bundle into the demonstration on how to order your background checks, is by ordering a background check. So similar process. Clicking up here in the right hand, top corner under the background check button. Now this is going to show you what it looks like to order when you're on that bundle one. So if you are just on a bundle one or child safety training bundle, then you will have to fill out the information. This will all of this information will be included on that consent form that we provide to you. If you are on bundle two, you will simply click on an applicant. You'll enter the applicant very similarly to the child safety training and just send that to their email. Then the applicant will complete the online consent form they receive, then you can order their background check. But for the purposes of this demonstration, I'll show you what it looks like under the bundle one, which is the free bundle that we're offering you. So we're going to use a testing account here. So what will be required on the bundle one accounts that are set up under this particular partnership is your full legal name. It's going to request the Social Security number. It's going to request the date of birth. It will request an email address as well as, of course, an address. So what we'll have on here is an address, phone number, driver's license, sex, and race are not required. If you are running a motor vehicle report, you will be required to enter that information, so keep that in mind. Billing references is something that, as an administrator, you can enable on your account. So if you have multiple administrators that will be running background checks or, you know, submitting these trainings through for your applicants. It may be something that you want to put in place. So the billing reference, for instance, can be anything. It might be volunteer. It might be youth youth department. It could be a kid's ministry. It could be choir. There are many different, billing references that a church might want to enable on here. Now for the options of the background checks, when we hit select from a predefined package, the options that you'll see on your account are just that plus and the auto county seven. From the a la carte list, you'll see a handful of these options as well, like the motor vehicle report that we talked about or the employment and education verifications we spoke about as well as the credit searches. That is something that has to be enabled, so definitely let us know if that's something you're interested in. For this presentation, what we'll be doing is selecting the plus package so I can show you what that looks like when you're ordering it. So you'll select your plus package. At this time of running the background check, you can order a training as well. So you'll have the options for the employee, Spanish, and volunteer just like in the other tab. And then we'll hit next. Now for the plus package only, you'll see this screen populate. And this kind of goes just a little bit deeper into what the plus package is. So as I discussed earlier, in in addition to all of the national searches, it's also going to include one statewide or one county search. And what you'll have to do on here is just select which option you're going with. This will be discussed with you when you set up your account, so this won't be something that you have to guess. For Florida, for instance, the recommendation is a county search. So when I click on county, it will automatically add this, and it typically auto populates the county on here. I may have put I may have had an error in my ZIP code. So but it will auto automatically populate the state and the county in here, then you'll just hit next. And this will be your summary page. So it's gonna have the name of the applicant, their date of birth, their Social Security number, just the last four on there so you can confirm it with your records. It's gonna have their order order details, so what specifically you're searching, the specific county, national combo, and then your county or statewide for the plus. It's going to verify that you have that training on there as well, and then you'll just have to click to certify with our FCRA client certification. Once you click order, you'll get that success screen. And then when you hit return, same as the child safety training, it will take you back to your dashboard so that you can review pending. So clicking back over to our pending tab, you can see our testing here, the date that we added it, that our authorization has been completed since we entered it in manually, and then the report status is pending. Now there are a lot of different options on our online database, or platforms such as Ministry Brands that you can set up your account, you can configure. Under our settings here, you can customize the portal. So for us, we have a our logo, of course, uploaded there. If you have a logo for your church, you can upload it here. You can upload an image for your banner as well, as well as an introduction here. Under the positions and departments, this will be grayed out unless you have bundle four. So keeping that in mind, this is where you would add on different departments for your church. So a lot of my churches that I work with use this for different campuses. If each campus is going to have their own account, then this may not be the right option for you. But if you're a church that has multiple campuses that would like to keep everything together, then that bundle option might work for you well. Down here under additional settings, you can see your rescreen interval and you can set that up. This is also where you'll make your billing references mandatory. You can add your billing references here just by selecting new billing reference. And then your consent form and training email settings, this is where you can customize that consent form for your training. So the training email specifically will just have a very broad message. You can see the subject is literally just child safety training, and then the actual bulk body of the email will be overall broad about what the training is. If you would like to customize this, this is how you would do it. We'll just select in here. You can customize everything. Please keep in mind, and it has this down here as well, keeping the application link and the first name, last name, application name, tag in the email body. So just keep that in mind. You don't want to delete that accidentally. And, again, if you have any questions about this or would like a, you know, custom walk through, our support team is happy to help with that. Now back over to our organization here, this is where you'll see your organization details. You can view bundle details, invoice history, and your registration link. This is something that some of the churches that are interested in the bundle two may also find really beneficial as well, this registration link. This is where you can actually post this link somewhere on your website or you can, you know, text it if you'd like to or email it out without going through our Ministry Mobilizer database to do so. And when they click on that, they'll be taken to that actual consent form to complete that to complete their consent form so you can run their background check and send them the training. So this is something that's very helpful if you have a website already, if you have an onboarding process for your volunteers and you're interested in this, then this will be set up for you under bundle two. Now under your account, you can see your, settings here, your email notifications as well. And then user administration is grayed out for me on here. But when you click on that tab under your settings, that's where you'll be able to customize everyone's, user admin experience. So if you have multiple individuals that you're looking to screen, to help you with the screening or submit those trainings, you can set up it. You can set their settings up so that they can only view certain things. They can't view the reports. They can only, basically, just request that those trainings go through or those reports go through. So just keep that in mind that we have those options available to us as well. Now when you're actually getting started to sign up for your account, you'll be provided a link. There's also a QR code that I will be putting up here on the slide as well. But I wanted to go over the specifics of that form and what that looks like. So steps one and two basically just cover your overall organization information, making sure that you're putting in the admin's information that you'd like to be the primary contact on there. There will also be a spot for a billing contact if that person is different from you, and then the username and password set up as well. You'll select at this time, everyone who is going through this link will select will be selecting their bundle one option. And then if you are interested in the bundles two, three, or four, just reach out or we will also be reaching out and confirming that with you, if you would like to have an additional bundle option on there outside of just bundle one. Now steps three and four mostly cover the billing portions of this. So you'll have the option when you're signing up for the account really just to set it up with a card if you prefer auto payment or you can set up as an echeck Or you can set it up as invoicing only where it's not on an auto payment process. So you'll just select whichever works best for your church. We do still have some churches that mail in checks. That's totally fine. It happens all the time. I will say that the easiest and more seamless way to do it would be through that credit card on auto payment, as you probably already know. But the invoicing process is on a monthly cycle. So if you're just using this for child safety training, you will still need to set up this with either that invoicing process or with an echeck or card on file, so keep that in mind. And if you're running background checks and you'll be actually billed, you know, per search, then you will be invoiced on a monthly basis. So all of the background checks that you do in a thirty day period will be then invoiced at the end of that thirty day period. You'll have fourteen days to pay it and so on. So, of course, if you have any questions about that, please let us know. This is gonna be that QR code. It will take you directly to that link, that you just saw the pictures of in the past two slides. The link below is the direct link as well. And then just a reminder, the deadline for each church under the Iowa District West to sign up for these accounts is the thirty first. So whether that's just signing up for that initial child safety training count or getting your background check count account set up, then you do have to do that by 03/31/2026. So please keep that in mind. And then we have some contact information here as well. So if there are any questions that we have that we haven't been able to answer in the q and a, I'll be going over those now. It also has a support reach out, and it will be a direct line to open up a ticket with our support team. So for any specific questions about your account or just set up those custom, walk throughs of your account will be on there as well. So it looks like we have a question from from Matt Martin. Does the background go off crimes charged with or charges convicted of? Also, which crimes are checked for? So that's a great question. So our background checks are going to be based on conviction data. So it's going to be, when you're running a general criminal background check, there there aren't I would say that there, specifically, which crimes are checked for might be a little bit of a broad question. So any crime that they have been convicted of, we will be able to see based on the county that it's filed in or the state that it's filed in. So running a more comprehensive search is a way to ensure that you cast a wider net to reach the, criminal data that's been filed with that specific state or county. So if they have been convicted and it has been filed with the national criminal database, it will be pulled instantaneously on that report. For more specific questions, we do have a privacy policy, so I'm happy to provide that with you as well. Hopefully, that answers that question. Next question we have, what if we currently have an account for three years? Can we still get on the free bundle? Yes. We could definitely do that for you. Just send us an email. You can either reach out to sales or my, email directly, to get that switched over, but we can definitely get that on, get that configured for you. And you'll also be eligible for that discounted pricing under the partnership as well. Great question. Alright. From Linda, is this replacing the current Protect My Ministry that we are currently using? So similar question. Just like I said, if you wanna reach out to us and you're currently a Protect My Ministry customer of ours, then we will get you put on this partnership discount so that you can take advantage of it. And it might be a good idea to take a look at your current screening as well. So, Linda, if your church has been with Protect My Ministry and been using us for more than three to five years, I would say, it's likely that our recommendations for background checks have changed. So definitely get with me or someone on the sales team to, go over your account. And then it looks like from Kelly, is the option one account free for two years? Yes. That's correct. So the bundle one will be free for two years. And then after the two years is up, then you'll be able to check a, you'll be able to check a your subscription and kinda go from the next good question. And let's see on here. With the conviction only, many could slip through that receive pre sentence diversion or crimes committed as juveniles are not reported. Do you offer a behavioral assessment of risk? So we that is a good question. So juvenile records are sealed. So we do offer juvenile background checks. So you can do that with a parental consent form on there. A lot of churches will do that with their liability insurance provider's recommendation. That is something that you might wanna reach out to your liability insurance provider on. We don't offer behavioral assessments. We do have something you can set up in your account called, adjudication or risk assessment, and that will essentially filter the results of your background checks to show those alerts on there. It just helps with your organizational process of your account. But at this time, each state is different with what they allow us to report. So we, yeah, we will that's that's a question that I would probably take to your liability insurance provider. Perfect. Yes. Thank you, Rhonda. That's likely what would happen. I didn't have the specifics on that, but, yeah, probably what we'd put out is it would be information regarding a new partnership agreement where likely be renewed. So that is not my department, though. So, yeah, we will leave that with Rhonda to answer. Thank you for that. So that that depends, Matt. So Matt's question on the q and a is a person that's now 22 and committed a serious crime at 17 will not be reported. So it really depends on how the judge actually classified the charge and how it was convicted. I find it highly unlikely that a serious crime would not be reported or tried as an adult in that case, but again, this is all case by case. So Protect My Ministry, we strive to provide information that is that is whole for following these specific compliance requirements through the FCRA. And the FCRA is going to be, you know, responsible in protecting the integrity of, you know, your individuals that you're background checking. So we ride a line of helping your church understand what the results are and being able to present information that makes you feel comfortable in protecting your congregation and the vulnerable individuals, but also being compliant with the FCRA. So that is that's a difficult question to answer without specifics of what the charge is, what that looks like. But we definitely do see many, many, you know, cases where if it's an incredibly serious crime, we're going to typically see it on a report. That is a good question. I am not certain that, I might default to Rhonda on that to answer, how this will be distributed after we are recording this webinar, so it will be available to watch as well, in terms of emails. I believe if you have registered, which if you're here, I'm assuming you've registered, that it will be emailed after this recording. If someone wants to verify that, that would be great. Perfect. Thank you, Rhonda. So Laura is asking, thank you for leading this important training on how to maneuver through the back end to protect Protect My Ministry. I'd love to hear you speak a bit about the importance of this program, why sexual abuse prevention training and background checks matter, not just as a requirement, but for the safety, trust, and well-being of the people we serve. Could you share your perspective on that? Absolutely. Yeah. So that's a great question. Thank you for that, Laura. So child safety training is an incredibly important part of the onboarding process for volunteers in your church. It's that coupled with the background check is one of the best and sure fire ways to protect those vulnerable individuals at the church level. Not only that, but as a call out to Laura, it does build the trust in your congregation. So a lot of the churches that I work with will actually have this posted on their website, maybe under their kids section or their kids ministry specifically that highlights their safety protocol for what they're doing to protect those kids that the parents of your congregation are entrusting you with. So this is something that not only helps instill that sense of trust in your congregation, but it's something that you're doing that you're taking that due diligence on. You're protecting these vulnerable individuals, and you're also protecting the church from a liability standpoint as well. So, a really good perspective on this is reaching out to your liability insurance provider, getting more information on that, and seeing what they specifically recommend. A lot of times those liability insurance providers will have in-depth recommendations as well. The the Protect My Ministry Child Safety Training was actually formed for, to fulfill a legislative requirement in the state of Texas, And we opened it up to the rest of the country to have this the availability to have their volunteers trained on these matters because it was so popular in the state of Texas. So it's something that we created initially to to fulfill again that legislative requirement, but then it became such an an important topic that we've brought in specialists to help create this new version, and it's really just a great comprehensive training program that doesn't take hours and hours for your volunteers that they're not, you know, dreading going into it. It's an overall pleasant experience, with some really important topics. So thank you for that. Would you recommend a leadership board to go through the training, Kelly says? They would not necessarily be volunteers or employee employees but be a part of developing a child safety policy. Absolutely. Absolutely. There's there is no reason that those type of individuals at your congregation would not, you know, go through the same experience as your volunteers do. It would also probably lend them a good perspective on the onboarding process for the volunteers as they're developing this policy and where that fits in. So thank you for that question. Alright.
